Email notes into Hjarni

A folder can have its own email address. Anything you send or forward to it becomes a note in that folder, with the subject as the title and attachments carried across. Nothing to install: it works from your phone, from a newsletter signup form, from a mail rule that runs while you sleep.

Quick answer

Every Pro account gets a capture address at in.hjarni.com. Open Folders, then Email addresses, and copy the one already waiting there, or press Email to this folder on any folder to make one that files into it. Mail sent to the address becomes a note within moments: subject as the title, body cleaned of quoted replies and signatures, attachments up to 25 MB included, and an email tag on every note so a connected Claude or ChatGPT can find the whole channel in one search.

Get your address

You already have one. The first time a Pro account opens Folders → Email addresses, or the Inbox while it is empty, Hjarni mints an address pointed at the Inbox and shows it. There is nothing to press.

  1. Open Folders, then Email addresses.
  2. Press Copy on the address at the top of the list.
  3. Save it as a contact in your mail app, named something you will actually type, like "Hjarni".
  4. Send it anything. The row flips from "Waiting for your first email" to the note it made.

An address looks like inbox.k7f3q2m9pd@in.hjarni.com. The first part is the label you gave it; the rest is the secret.

Saving it as a contact is the step that makes the feature stick. On a phone, sharing an article to Mail and typing three letters is faster than any app switch.

Give a folder its own address

The Inbox address is the catch-all. Anything you want filed on arrival gets its own address instead: a Reading folder for newsletters, a Receipts folder for invoices, a Clients folder for forwarded threads.

Open the folder and press Email to this folder, or use Add a folder address on the Email addresses page and pick the folder there. Either way the label defaults to the folder's name and you can change it.

Label

How the address is named in your list, and the readable first part of the address itself. Renaming it later does not change the address.

Destination

One folder, chosen when you create the address. Leave it on Inbox for a catch-all.

Tags

Optional. Every note from this address arrives with them, alongside the automatic email tag.

If a folder is later archived or trashed, mail to a personal address there lands in your Inbox rather than somewhere you cannot see it.

What the note looks like

A forwarded thread that arrives as five layers of quoted headers is a note nobody reads, so the message is cleaned before it is saved.

Title

The subject, with Re:, Fwd: and friends stripped, however many are stacked up. No subject gives you "Email from Ada Lovelace on 3 September 2026".

Body

The plain-text part where the sender wrote one, otherwise the HTML converted to Markdown. Tracking pixels and style blocks are dropped.

Quoted history

Cut. Signature separators, "On Tuesday, Ada wrote:", Outlook's repeated header block, and lines starting with > all go. An inline reply keeps the sentences you wrote between the quotes.

Forwards

Unwrapped. The original sender and date survive as the note's first line, and anything you typed above the forward stays above it.

Provenance

One italic line at the top: From Ada Lovelace (ada@example.com) on 3 September 2026, via Reading. It names the address's label, never the address.

Tags

Always email, plus whatever the address carries. Ask your AI for "everything tagged email this week" and the whole channel comes back.

The note is an ordinary note from that point on. Edit it, move it, link it, and read it from Claude or ChatGPT like any other. Its history records that the first version came in by email, so you can always tell a captured note from one you wrote.

A body over 1 MB is truncated at a line break with a line saying so. It is never dropped: a truncated note is something you can act on, a missing one is a silent failure you notice much later.

Attachments come along

Files on the message become note attachments, up to 25 MB each. A forwarded PDF invoice arrives as a note with the invoice attached, which is exactly what you wanted when you forwarded it.

If a file is too large or cannot be downloaded, the note is still created and a line at the bottom names what did not make it. A note missing its PDF is recoverable, since you still have the email. Refusing the whole message would lose the writing as well.

Team folders

A team folder can have an address too. Make it from the folder page, or from Email addresses on the team, where every member manages their own and the owner sees them all.

  • An address writes as the person who made it. Notes are attributed to them, and it counts against their own ten, on their own Pro plan.
  • Only its holder can read it. The team owner sees that an address exists, which folder it files into and who holds it, but not the address itself. It is a credential to post as that member, so handing it over would hand over their signature.
  • Any owner can revoke one. Revoking is management, copying is not. Rotating stays with the holder, since a new address is only useful to whoever can read it.
  • Write access is checked on every message, not just when the address is made. Lose edit rights on the folder and mail to it stops being filed there.

Newsletters, at the source

Subscribe with a Reading folder's address instead of your inbox. The issues pile up as notes your AI can search, and your inbox never sees them.

Anything you read on your phone

Share to Mail, pick the saved contact, send. It beats copying a URL into an app you have to open first.

Receipts and invoices

A Receipts folder with its own address turns a forwarded invoice into a note with the PDF attached, filed and tagged.

A mail rule that files itself

Gmail filters and Outlook rules can forward automatically. Everything from one sender, or carrying one label, lands in the right folder without you.

Client threads worth keeping

Forward the thread that settled a decision into a team folder. The quoted history is cut, so the note is the decision and not the ceremony around it.

Whatever your tools can email

Scanners, form builders, reporting jobs and read-later services all send email. Anything that can address a message can write a note.

Treat an address like a password

Anyone who knows one of your addresses can put a note in that folder. The random part makes it unguessable, so the risk is not someone finding it but you publishing it: keep an address off a public page, out of a shared document, and out of a note that might be shared later. Hjarni never writes it into the notes it makes, for the same reason.

Regenerate

Swaps the secret and keeps the label, the folder and the history. The old address stops working the moment you press it, so update your filters and contacts.

Revoke

Shuts the address for good. Notes it already created stay exactly where they are.

Rejections

A row shows "N rejected today" when mail was refused. A number that climbs on an address you never gave out is your cue to regenerate it.

Hjarni never replies to mail sent to a capture address, not even to say it was refused. A sender line can be forged, so an automatic reply would be a way to aim our mail at someone else. See privacy and permissions for what happens to the mail itself.

Limits

10 addresses

Per account, across your personal folders and every team you write into. Revoke one to free a slot.

50 messages a day

Per address, counted over a rolling 24 hours rather than reset at midnight.

1 MB of text

Per note. A longer message is truncated with a line saying so.

25 MB a file

The same ceiling as any other attachment. Bigger files are listed at the bottom of the note instead.

Pro

Minting an address needs Pro. The page is on every account, so a Free user can see what it does, and a lapsed one can still read and close the addresses they hold.

While an account is not on Pro, its addresses keep existing but mail to them is dropped rather than bounced, and the rows read "Paused". Resubscribe and every address works again, filters and all.

The address comes back once, in the conversation. Remind your assistant not to write it into a note: an address is a write credential, and a note can be shared.

Nothing arrived

Notes normally appear moments after the mail does. When one does not, the row on the Email addresses page is the place to look: it shows the note count, when the last message landed, and a rejected count when mail was refused.

  • Check the address character for character. Mail to an address that does not exist is dropped without a bounce, so a typo looks exactly like silence.
  • Check the plan. A row reading "Paused" means the account is not on Pro and mail is being dropped.
  • Check the rejected count. Fifty messages in 24 hours is the cap for one address. Spread a bulk forward across a day, or use a second address.
  • Check the folder. A team address stops delivering if you lose write access to its folder or the folder is archived.
  • Check your own mail rule. A forwarding rule that never fired is a common culprit, and one Hjarni cannot see.

How do I email a note into Hjarni?

Does the quoted thread end up in the note?

No. Signatures, quoted replies, the "On Tuesday, Ada wrote:" block and Outlook's repeated headers are cut before the note is saved. A forward is unwrapped, keeping the original sender and date as the note's first line, and anything you typed above the forward stays above it.

Do attachments come across?

Yes, up to 25 MB per file, as ordinary note attachments. If a file is too large the note is still created and a line at the bottom names what was left behind.

What plan do I need?

Creating an address is part of Pro. The page is on every account, so you can see what the feature does before paying, and a lapsed subscriber can still read and close the addresses they hold. While an account is not on Pro, mail to its addresses is dropped rather than bounced.

How many addresses can I have?

Ten per account, across your personal folders and any team folders you write into, with a cap of 50 messages a day per address counted over a rolling 24 hours. Revoke an address to free a slot.

Can a team folder have its own address?

Yes, made from the folder or from the team's Email addresses page. It writes as the member who created it and counts against their own ten. Only that member can see the address itself; the team owner sees that it exists and can revoke it.

What if someone else learns my capture address?

They could add notes to that folder, so keep an address off public pages and out of shared documents. Regenerate it to swap the secret while keeping the label, folder and history, or revoke it outright. Notes it already created stay where they are.
